A client called me on a Wednesday afternoon. Annual meeting that Friday, 400 people in a Taipei hotel ballroom, three overseas subsidiaries watching remotely. They had already booked another vendor for $900 to livestream it. The vendor’s last message on LINE said the hotel Wi-Fi “should be fine.” One camera, one encoder, one point of failure for a stream the Japan office would be presenting into.

I quoted $5,200 for three cameras, wired ethernet primary, bonded LTE backup. They pushed back for twenty minutes, then paid. On the day, the hotel Wi-Fi died at 10:47 AM during the CEO’s opening. Our LTE bond picked it up inside 800ms. Nobody in Osaka noticed.

That story is the whole pricing conversation. Below is the structured version: three tiers I quote in 2026, in USD, and the five questions I ask before writing any number.

The three tiers I actually quote

Every event livestream I take falls into one of three brackets. The difference between them is what happens when something goes wrong, and how many things have to go wrong before the audience notices.

Tier 1: Single-cam fixed livestream ($1,200-1,700)

One camera on a tripod, wide shot on the stage. One encoder. One operator who can pull mild focus if the speaker walks. Audio from the venue mixing board via 3.5mm or XLR. Stream goes to one platform, usually YouTube unlisted or Zoom Webinar.

This is what I quote for internal all-hands, training sessions, overflow rooms, and low-stakes webinars where a five-second glitch is not a career event. No backup network at this tier. If the Wi-Fi drops, we pause, reconnect, send a Slack apology. That trade-off is priced in.

You should be paying around $1,200 with decent wired ethernet and a run under three hours. $1,700 for a full-day session or a venue that is a nightmare to load into.

Tier 2: Two-cam with director switching ($3,000-4,000)

One wide, one medium or floating handheld for audience reactions and speaker close-ups. A vision mixer, usually an ATEM Mini Extreme or a Blackmagic HyperDeck setup. A director cutting live. Lower thirds and title cards baked in. Audio from the venue board plus a backup stage mic as insurance.

This is press conferences, product launches, panels where cutaways matter for the recording, and any event where the client will re-cut the file into short marketing clips within a week. The second camera is less about live experience and more about coverage the editor can actually work with later. If you will watch the file once and forget it, skip this tier.

Pricing lands between $3,000 and $4,000. Add $500 if you want a separate slide feed mixed in as full-screen or picture-in-picture.

Tier 3: Three-cam with backup network ($5,000+)

Three cameras minimum: wide, tight on speaker, and either a jib or a roaming handheld. Full director’s rig. Two encoders in parallel, primary and hot standby. Wired ethernet as main uplink, bonded 4G/5G modem that takes over automatically if primary fails. Two audio sources: main board plus a backup wireless lav.

This is annual meetings, all-day conferences with international audiences, keynotes streamed to shareholders, anything the client described with the phrase “cannot go down.” Floor is $5,000 for a straightforward half-day. A full-day event with multiple sessions and load-in the night before runs $7,500-9,000.

The math looks brutal until the day the primary uplink dies. Then it looks cheap.

The venue Wi-Fi trap

Here is the hidden risk vendors quoting $900 will not tell you. Venue Wi-Fi is not a livestream network. It was designed for guests checking email, and it is shared with every guest in the building. During peak times, upload bandwidth can drop below 3 Mbps without warning. Your encoder needs a stable 5-8 Mbps for 1080p at reasonable quality.

Hotels will tell you “we have gigabit fiber” and mean it, but that gigabit is shared across three floors of guests and two other conference rooms. I have seen it die because a conference next door started a Zoom call at the same time. No warning, no email, no apology. Your stream just freezes.

Wired ethernet from the venue’s IT closet is better, but only if you can test it during setup. I ask every venue for a wired drop and a bandwidth test the day before. About 40% of Taipei venues can deliver on request. The other 60% nod, promise it, then produce a 15-meter cable with no known destination on the day.

That is why Tier 3 exists. The bonded LTE backup is not paranoia. It is the one thing that will save the stream when the venue’s network does the thing venue networks do.

Five questions I ask before quoting

Before I put any number on paper, I ask five questions. If the answers are hazy, the quote goes up because I am pricing in uncertainty.

1. Who is watching and where? Internal team on Zoom is Tier 1. Investors, board members, or press on a public URL is Tier 2 minimum. International audience watching a keynote in a language they are simultaneously translating is Tier 3.

2. What happens if the stream drops for 90 seconds? If the honest answer is “we send a Slack sorry,” you are Tier 1. If the answer includes “reputational” or “shareholder,” you are Tier 3.

3. Will the recording be re-edited into marketing content? If yes, you need multi-cam coverage. Tier 2 or higher, because of what happens to the file after.

4. Have you confirmed a wired ethernet drop with the venue? If the client can send me the email thread, I trust it and price accordingly. If they say “the venue coordinator said Wi-Fi is fine,” I add $800 for our own LTE bond regardless of tier.

5. Is there a rehearsal window? A one-hour setup with no rehearsal is $500 riskier than a full evening load-in the night before. I price the risk, not the labor.

Ten minutes on a call. They save me from quoting a job I cannot deliver at that price, and save the client from paying for capacity they do not need.

FAQ

How far in advance should I book a livestream production team?

Tier 1, two weeks is fine. Tier 2, three to four weeks lets me confirm venue access and rehearse the switching. Tier 3, six weeks minimum. The bonded LTE modem and the second encoder get double-booked during Q4, and if I cannot secure the redundancy, I cannot deliver the tier.

Can I upgrade from Tier 1 to Tier 2 the week of the event?

Sometimes. If a second operator is available and the venue has room for a second position, yes, for about $1,200 on top of the Tier 1 base. What I cannot add last-minute is the director’s mixer and lower-thirds workflow, because that needs a rehearsal window I will not have.

What if the venue insists their Wi-Fi is enough and we do not want to pay for backup?

I will still take the job at Tier 1 pricing, but I put in writing that we assume no responsibility for network-caused interruptions. About one in five clients who sign that clause come back the following year and pay for Tier 3. The other four never notice, because their event happened to be fine that day.

Do you record locally as a backup even on Tier 1?

Always. Every camera records to an internal SD card in parallel with the stream. If the network dies mid-event, you still have a clean recording to publish afterwards. Included at every tier, and the reason a “failed” livestream can usually still become a “successful” video deliverable.
